1. Scope
This Privacy Policy explains how TMAU International (“we”, “us”, or “our”) handles information connected with tmau-international.com, including email enquiries, voluntary newsletter subscriptions, and the TMAU International Community hosted using Discourse.
It does not apply to third-party websites or services that we do not control. Please review their own privacy notices before providing personal information to them.
2. Information we handle
Emails you choose to send
If you contact us by email, we receive the email address, message, and any information you choose to include. Please do not send medical records, genetic or test results, payment-card details, or other sensitive personal information through ordinary email. This website is not a secure channel for sensitive health information.
Newsletter subscriptions
If you choose to subscribe, we collect your email address, your newsletter-consent choice, and records needed to manage the subscription, such as the date and status of the sign-up and confirmation. We use double opt-in: you are not added to the mailing list until you confirm your email address through the link we send you.
We use Brevo to host the sign-up form, maintain the subscriber list, and send newsletter emails on our behalf. Brevo may process information necessary to provide those services, including subscription status and email-delivery information. Please do not use the newsletter field to send health, genetic, or other sensitive information.
Technical information
Our hosting, security, website-delivery, and community-platform providers may process routine technical information needed to deliver, secure, and troubleshoot our services. This can include an IP address, browser or device information, pages or files requested, activity and error logs, and the date and time of a request.
Services not active yet
We do not currently offer an AI research tool or online donation checkout through this website. If we introduce a feature that collects additional personal information, we will update this policy and provide any required notices before that feature is available.
3. How we use and share information
We use information we receive to:
- respond to questions or requests sent to us;
- send the newsletter and related updates you have specifically asked to receive;
- record, manage, and honour newsletter consent and unsubscribe requests;
- create and administer community accounts and provide community features;
- moderate discussions, investigate reports, enforce community standards, and protect members;
- operate, secure, and improve the website, community, and our communications;
- maintain appropriate records relating to communications; and
- comply with legal obligations and protect the rights, safety, and integrity of TMAU International and others.
We do not sell or rent personal information, and we do not use newsletter or community information for targeted advertising. We may share information only as reasonably necessary with providers that help host, secure, maintain, or communicate through our services, including Discourse for the community platform, Brevo for newsletter services, and Google reCAPTCHA to help protect the sign-up form from abuse; with professional advisers; or when required by law, needed to protect rights or safety, or connected with an organisational change.
5. TMAU International Community
Accounts and participation
The community requires sign-in, and we review new registrations before granting community access. If you register, we and our community-platform provider may process your email address, username, authentication and account status, profile information you choose to provide, trust level, notification preferences, and information needed to administer and secure your account. Optional profile information may include a biography, profile image, location, website, or other details you choose to add. You may use a pseudonymous username, and we encourage members not to use their full legal name.
Community administrators can access account-level information, including email addresses and IP-address information, where reasonably necessary to review registrations, prevent abuse, protect members, secure the service, or comply with law. We also process the content and associated records of topics, replies, reactions, bookmarks, flags, chat messages, personal messages, moderation decisions, and other activity within the community. The Discourse platform may use automated mechanisms to help prevent spam and abuse and to apply trust-level calculations. Staff may review reported content, account history, and relevant records when reasonably necessary to moderate the community, investigate a concern, provide support, secure the service, or comply with law.
Health and other sensitive information
Discussion about TMAU may reveal information about health, symptoms, diagnosis, treatment, disability, mental wellbeing, or other sensitive circumstances. We do not require members to disclose this information. If you choose to include it in a post or profile, we may process and display it as part of providing and moderating the community. Please consider carefully before sharing information that could identify you or another person.
The community is access-restricted, but it is not a confidential clinical service or private support session. Content visible in a community area can be read by every member permitted to access that area, and another member could copy or disclose it outside the community. Do not post information that you would not want other approved members to see. Remove names, addresses, patient numbers, QR codes, clinician details, and other identifiers before sharing a document or image.
Messages and reports
Personal messages are not end-to-end encrypted, and community administrators can access their content. Personal messages and direct chats should not be treated as absolutely private or secure places for medical records or highly sensitive information. A recipient can copy or report a message, and relevant content may become available through platform-administration, moderation, safety, security, technical-support, or legal-compliance processes.
Discourse
Our community is hosted by Civilized Discourse Construction Kit, Inc. (“Discourse”). Discourse processes community data on our behalf as a processor and service provider, while separately handling certain Discourse ID and platform information under its own policies. 7. Retention and security
We retain communications, newsletter records, community records, and technical records only for as long as reasonably necessary for the purposes described in this policy, including responding to an enquiry, sending requested updates, operating and moderating the community, maintaining security and appropriate consent records, and meeting legal obligations.
Community account information and contributions are generally retained while an account remains active. If an account is closed, we may delete it or anonymise identifying account information while retaining contributions where reasonably necessary to preserve the continuity and integrity of discussions. Content containing personal information may require separate review because anonymising an account does not remove identifying details that a member placed in the text of a post. Editing a community post may leave an earlier revision viewable to community administrators. Limited information may remain temporarily in backups, security records, moderation logs, or records we are legally required or reasonably entitled to retain.
We use reasonable administrative, technical, and organisational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. International visitors
Our contact address is in the United States. Information may be processed in the United States or other places where our service providers operate. Where required by applicable law, we and our service providers use appropriate safeguards for international processing.
9. Your choices and privacy rights
You may unsubscribe from newsletters using the link in any newsletter. Community members can manage certain profile information, notifications, and preferences through their account settings; account-activity export options may also be available there. You may also ask us to access, correct, delete, or anonymise personal information we hold about you, close a community account, or ask a question about our privacy practices, by emailing info@tmau-international.com with the subject line “Privacy request.”
We may need to verify your identity and request. Depending on the circumstances, closing or anonymising an account may not remove every contribution, quotation, moderation record, backup copy, or record that law or a legitimate need permits or requires us to retain. We will consider requests relating to personal information contained within individual posts separately.
Where privacy law gives you additional rights, including rights to object, restrict processing, or complain to a privacy regulator, we will honour those rights as required by applicable law.
10. Children’s privacy
The informational website is intended for a general audience, but the TMAU International Community is currently limited to people aged 18 or older. A person under 18 must not register for or participate in the community. We do not knowingly permit children to hold community accounts. If you believe a child has provided personal information to us or created an account, please contact us so that we can address the issue.
11. Changes to this policy
We may update this policy as our services or legal obligations change. We will post the updated version here and revise the “Last updated” date. If a change is material, we will provide any additional notice required by law.
